Bind evidence to the exact thing it supports.
Method steps, risk controls, findings, responses, approvals, signatures and issue events do not all prove the same thing. HoldPoint records each against the relevant RAMS revision and event so later retrieval preserves that context.
When a reviewer responds to revision 4, a later edit cannot make that response appear to concern revision 5. When an approver signs, the signature record identifies the RAMS version. Later lifecycle changes do not rewrite those earlier events.
History is append-only in meaning.
Correction creates a new event or revision. HoldPoint does not rewrite an earlier decision to make the current record look cleaner than the sequence that occurred.
Keep sensitive evidence inside its access boundary.
RAMS evidence can contain personnel details, signatures, customer information, work methods and commercially sensitive attachments. Tenant isolation is applied to the underlying records, while role and document permissions determine who can view, decide or export.
Minimise duplication
Provenance should identify the source and integrity reference without copying sensitive material into every event. An export assembles authorised evidence for a purpose; it does not make the evidence public or relax the source record’s retention rules.
Retain deliberately
Retention follows the customer agreement and applicable policy. Evidence should not be kept forever by default, nor deleted while it is still required to explain an active or historical controlled document.
State what the record cannot prove.
An audit event can show that HoldPoint recorded an approval at a particular time. It can show the attributed identity, revision and attestation. It cannot prove that the person’s judgement was correct, that an attachment was genuine beyond the checks performed, or that site teams followed the method.
Traceability is not safety certification.
HoldPoint makes recorded decisions and lifecycle changes reconstructable. Dutyholders still verify suitability, competence, site conditions and the work as carried out.
Retrieve a complete decision record, not a folder of clues.
The RAMS detail workspace joins the controlled document with its findings, responses, approvals, signatures and audit trail. Final PDF and DOCX exports render the governed document; the audit trail remains a separately authorised product view.
Exporting a final document and retrieving governance history are different actions. A PDF or DOCX is not described as a complete customer evidence pack when the audit trail is not included in that file.
